Who is collecting your data?
When visiting our website www.one-himalaya.com we collect information relating to the pages you visit and individual visitor behaviour patterns, but do not collect any information regarding your personal identity. Personal data such as name, address, telephone number or email address are not collected unless you willingly provide us with this information, for example, by completing one of the contact forms on our website or choosing to subscribe to our e-newsletter.
What personal information do you collect?
Personal data is collected when you submit one of the following online forms:
Contact us – When completing the ‘Contact us’ form on our website, you will be asked to submit your name, telephone number and email and details of your enquiry. By entering your personal details, you allow us to provide you with the information and services you request. You will not be subscribed to our mailings and email newsletters unless you select to ‘opt-in’. Your personal information will not be shared with any third parties.
Itinerary Requests – When completing the Customise this trip or Book this trip request forms on our website, you will be asked to submit your name, address, telephone number, email and other information relevant to your enquiry. You are also given the option to ‘opt-in’ to receiving our email newsletter and to be added to our mailing list to receive future mailings. By entering your personal details, you allow us to provide you with the services you select. You will not be subscribed to our mailings and email newsletters unless you specifically choose to ‘opt-in’. Your personal information will not be shared with any third parties.
E-newsletter sign-up - When completing the ‘E-newsletter’ form on our website, you will be asked to submit your name and email. By entering your personal details, you allow us to provide you with the services you select. You are given the option to unsubscribe from One Himalaya Ltd emails on each of the e-newsletters you receive. Your personal information will not be shared with any third parties.
Holiday bookings – When completing a holiday booking form on our website, you will be asked to submit your name, gender, date of birth, address, telephone number, email, passport information and the names of any additional travellers. You are also given the option to ‘opt-in’ to receiving our email newsletter and to be added to our mailing list to receive future brochures and newsletters. By entering your personal details, you allow us to provide you with the services you select. You will not be subscribed to our brochure mailings and email newsletters unless you specifically choose to ‘opt-in’.
Booking and payment details – For all deposit and balance payments we do not ask you for your card or bank details unless you choose to pay by phone and ask us specifically to take your information when confirming a land only or flight booking. When you ask to confirm a trip booking with One Himalaya, we will email you an electronic booking form and secure encrypted payment link, individual to you and your booking. We use E-Sign electronic document and signature services for enhanced security and privacy. E-Sign is the only electronic signature provider authorised on the UK Governments secure Public Service Network. They are ISO 27001 and Cyber essentials accredited, have been approved as an authorised supplier on the Government’s PSN and are ITHC compliant. They use two factor authentication and ID verification, to verify the identity of both users and document signers.
Through our membership of The Travel Network Group, we also work with Felloh who provide specialist payment solutions to the travel industry, in order to provide simple, secure and protected payment links. When you book with us, you will be sent a secure payment link that is individual to you. Unless you ask us to take your payment by phone, we will never ask for or have access to your payment details.
Will the data be shared with any third parties?
When you book a holiday with One Himalaya Ltd, your information, including your name, passport and insurance details, date of birth, next of kin and any medical conditions and dietary requirements, will be shared with our Destination Management Companies within the country/countries you are visiting, plus airlines and insurance providers where required.
The Destination Management Company will keep your details for the duration of your holiday – we request that all personal data is securely destroyed up to a maximum of 30 days after your holiday services end.
Outside of these requirements, your personal information will not be shared with any other third parties.
How will the information be used?
Marketing – when requested, for example if you have signed up to one of our e-newsletters, we will send you details of our latest news, competitions, offers and events via email.
Holidays - your personal data will be used for the purpose of providing you with our travel services, this includes your internal and international flights, your holiday logistics, safety and security whilst travelling, incident/accident management and insurance.
Feedback - on return from your holiday, we will ask you to complete a feedback form. This will be emailed to you and can be completed digitally. The purpose of this form is to gain insight into your experiences, to ensure your holiday has met your expectations, and to help us better understand and make improvements to our services and trips where/if required.
What is the legal basis for processing the data?
One Himalaya’s legal basis for processing data is covered by ‘Legitimate interest’.
We use personal data which has voluntarily been given to One Himalaya Ltd, in ways the individual would reasonably expect, and which have a minimal privacy impact, or where there is a compelling justification for the processing. Activities include, but are not inclusive of, controlling data for the purpose of organising client travel arrangements, ensuring individual safety and security whilst travelling, incident/accident management and insurance purposes. With regard to communication not associated to holiday arrangements, those who have requested marketing communications in the form of brochures and e-newsletters will receive correspondence. Each correspondence includes the option to unsubscribe or to have personal data records deleted from our Content Management System.
What rights does the data subject have?
You have the right to access, rectify and be informed about the personal data we hold. You are entitled to have your data erased upon request from direct marketing activities and can unsubscribe from emails. Once properly notified by you, we will take actions to stop using your information as requested. Contact us via the contact details listed at the end of this policy or via the Contact form on our website, to request access, updates to your record or the deletion of your personal data.
How long will the data be stored for?
Personal data will be securely stored until you exercise your rights to delete, amend or restrict your data.
